This video will demo what to do in VBO when an event is canceled. It will include:
- Setting the event date status to reflect the canceled event date
- Putting the event in private mode if the event and all event dates are canceled
- Using the event promo banner to communicate cancelation information to patrons
- Sending e-mails or text messages to those attending the event to inform them of cancellation

MORE TIPS FOR COMMUNICATION (OPTIONAL):
If canceling the event and all event days, you can change the BUY BUTTON LABEL in the MORE section of the EVENT INFORMATION tab to reflect the canceled event. This will allow the patron to see the status of the event without having to click on it. You should still set the EVENT DATE STATUS to CANCELLED so they are still unable to purchase tickets if they click the buy button label.
You can also use social media and your website to get a message to your attendees.
Here is an example of an e-mail that can go out to patrons through VBO. It gives the reason for the cancellation, specific event information, information about the refund and exchange options and contact information for the patron.

We regret to inform your performance of Almost, Maine on Saturday, August 17, 2018, at 7:30 pm has been canceled due to inclement weather. If you would like to exchange your tickets to another performance of the same show, please respond to this e-mail with your preferred date or call the box office at 444-444-4444.
You are entitled to a full refund. If you are unable to attend another performance and would like a full refund, please call the box office at 444-444-4444 or respond to this e-mail. Refunds will appear in your account within 7-10 business days.
We apologize for any inconvenience this may cause. Don’t hesitate to reach out to me with any questions you may have.

MORE TIPS FOR POLICIES
It is important that your terms and conditions reflect your event cancellation policy. This policy should inform the customer of steps that will be taken if an event is canceled and the refund or exchange process. If you have multi-day events, determine what the refund policy is if only one day of the event is canceled.
